Purposes and legal bases

Depending on the circumstances, we may process personal data for the following purposes:

  • Answering enquiries, assessing projects and preparing quotes: to take steps at your request before entering into a contract, under Article 6(1)(b) GDPR.
  • Providing contracted services: to manage and perform our contractual obligations, under Article 6(1)(b) GDPR.

How long we keep personal data

We retain personal data only for as long as reasonably necessary for the purposes for which it was collected and thereafter for any period required or permitted by applicable law.

Enquiry data that does not result in a service relationship is deleted or anonymised when it is no longer reasonably required for the enquiry, follow-up, security or defence of legal claims.

Where a contractual or commercial relationship exists, certain records may need to be retained after completion of the service to comply with accounting, tax and commercial-law requirements and applicable limitation periods. For example, Spanish commercial legislation can require certain business documentation to be retained for six years.

Specific shorter retention rules apply to AI Assistant conversations, as explained below.

Your data-protection rights

Subject to the conditions established by the GDPR and other applicable legislation, you may exercise your rights to:

  • rectify inaccurate or incomplete data;
  • request erasure;
  • request restriction of processing;
  • object to processing based on legitimate interests;

Security

This AI Assistant can make mistakes, omit relevant information, misunderstand a question, or generate plausible-sounding information that is false or invented. Its answers are provided for general information and assistance only and should be independently checked where accuracy matters.

AI-generated content is not a contract, professional translation, certified or sworn translation, professional advice, or a binding statement by Specialized Translators.

The AI Assistant may collect information required to understand an enquiry or, where that functionality is available, help prepare an indicative estimate or draft quotation. Any price or quotation generated solely by the AI Assistant is provisional and non-binding unless and until it is confirmed in writing by an authorised representative of Specialized Translators.

Your messages and the assistant’s replies may be recorded and processed. Safety controls may refuse a request or stop a conversation, but the attempted message may still be received and logged. Unless the AI Assistant or a related form specifically asks you to provide particular contact or business information, do not enter unnecessary personal, confidential, privileged, commercially sensitive, medical, legal, financial, payment, authentication or third-party information.

1. Scope and acceptance

These AI Assistant Terms of Use and Privacy Notice (the “AI Terms”) govern the use of the artificial-intelligence chatbot and any related generative-AI functionality made available through specializedtranslators.com (the “AI Assistant”).

The AI Assistant is operated by Vita Specialized Translators S.L. (“Specialized Translators”, “we”, “us” or “our”), tax ID ES-B42549592, with registered address at Calle Elda 12, 9º P18, 03560 El Campello, Alicante, Spain, and e-mail address info@specializedtranslators.com.

These AI Terms supplement this Privacy, Cookie and AI Policy, any applicable General Terms and Conditions, and any quote, order confirmation or written agreement specifically applicable to a service.

In the event of a conflict, mandatory law takes priority, followed by any specifically agreed written contract or confirmed quote, the applicable General Terms and Conditions, and then these AI Terms.

By selecting any acknowledgement displayed before or during the chat, where applicable, or otherwise using the AI Assistant after being provided with the relevant notice, you confirm that you have read and understood these AI Terms.

The AI Assistant is intended for adults and business-related enquiries. Persons under 18 must not use it.

2. What the AI Assistant is

The AI Assistant is an automated information and enquiry tool that uses artificial intelligence to understand questions and generate responses. It may use relevant public content from our website and information provided during the conversation as context when preparing an answer.

In accordance with the transparency requirements applicable to AI systems, we expressly inform you that:

  • you are communicating with an AI system and not with an employee, translator, interpreter, lawyer or other human professional;
  • answers are generated automatically and are not normally reviewed by a person before they appear;
  • the AI Assistant does not have independent authority to represent or legally bind Specialized Translators;
  • any price, estimate, availability indication or proposed solution generated through the AI Assistant remains subject to human verification and confirmation by Specialized Translators;
  • important information should be verified before you rely on it; and
  • you can stop using the AI Assistant at any time and contact our team for human assistance.

The way in which access to the AI Assistant is provided may change over time. Depending on its configuration, you may be able to use it without identifying yourself, or we may ask you to provide limited contact or business information before or during a conversation. Where information is specifically requested, the purpose of collecting it will be connected with responding to or following up on your enquiry.

3. Informational purpose and no reliance

The AI Assistant is designed to help users obtain information about Specialized Translators, our interpreting services and related services, understand which information may be needed for an enquiry, collect information about potential assignments, and facilitate initial contact, estimates or requests for quotes.

AI output is probabilistic. It may be inaccurate, incomplete, outdated, biased, unsuitable, internally inconsistent or entirely fabricated — sometimes referred to as an AI “hallucination”. It may also misunderstand context, specialist terminology, language varieties, the intended audience, dates, locations or the legal or commercial effect of information.

You must not use AI output as the sole or final basis for an important decision. Information that may affect legal rights, safety, contractual obligations, deadlines, costs or other material matters should be checked against original and current sources or confirmed with an appropriately qualified person.

In particular, AI output is not legal, medical, financial, tax, employment, immigration, safety, cybersecurity or other regulated professional advice.

Unless Specialized Translators expressly confirms otherwise in writing, nothing generated solely by the AI Assistant:

  • constitutes or replaces a professional translation, proofreading, interpreting, localisation, transcreation, desktop-publishing or certified/sworn translation service;
  • has been quality-controlled under Specialized Translators’ professional translation, interpreting or review procedures;
  • constitutes a binding booking, order confirmation, deadline, availability commitment, warranty, offer, acceptance, contract or amendment to a contract;
  • constitutes an authoritative or certified record of a communication or event; or
  • can modify a quote, order confirmation or written agreement issued by an authorised representative of Specialized Translators.

The AI Assistant may provide an indicative estimate or draft quotation where that functionality is available. Any such price, estimate or quotation is provisional and non-binding until it has been reviewed and confirmed through Specialized Translators’ normal human-led process.

4. Safety controls and rejected messages

We use technical safeguards intended to detect attempts to manipulate the AI Assistant, unlawful or unsafe content, attempts to obtain protected information, excessive or inappropriate personal data, abuse of the service, and other prohibited or out-of-scope use.

These controls may warn you, refuse a request, limit an answer, end a conversation or restrict access. They are intended to reduce risk but cannot guarantee that every harmful input or output will be detected.

A refused request may still be processed and recorded. The text you attempt to submit must ordinarily be received by the systems operating the AI Assistant before a safety decision can be made. It may therefore be recorded together with the refusal, safety event or other technical result.

Depending on where a particular safety check is performed, the attempted input or relevant context may also be processed by third-party service providers involved in operating or securing the AI Assistant.

These records may be used as reasonably necessary to operate and secure the AI Assistant, detect and investigate abuse, enforce these AI Terms, troubleshoot faults, comply with legal obligations, and establish, exercise or defend legal claims.

A refusal, warning or stopped conversation does not mean that the attempted message was never received, was never logged or has already been deleted.

5. Your responsibilities

You are responsible for the content you submit, your use of any AI-generated output and the consequences of relying on or sharing that output.

You must:

  • submit only content that you are legally entitled to use and process;
  • provide only information reasonably necessary for your enquiry;
  • provide accurate information where it is needed to answer an enquiry or prepare an estimate or quote;
  • review and independently verify AI output before using, publishing, sending or acting on it;
  • ensure appropriate human review where accuracy, safety, confidentiality, rights, reputation or legal consequences may be affected;
  • comply with applicable laws, third-party rights and these AI Terms; and
  • use our normal human contact channels for urgent, sensitive, confidential or legally binding communications.
6. Information you should not submit

The AI Assistant is designed for general enquiries. Unless the AI Assistant or a related form specifically asks you to provide particular contact or business information, you should use the service without unnecessarily identifying yourself or other individuals.

If we specifically ask for information such as your name, company, e-mail address or telephone number in order to respond to or follow up on your enquiry, you may provide the information requested.

Do not provide additional personal or confidential information unless it is reasonably necessary for your enquiry.

In particular, do not include:

  • unnecessary identification numbers, signatures, precise location data or other excessive identifying information;
  • special-category personal data, including information concerning health, disability, racial or ethnic origin, political opinions, religious or philosophical beliefs, trade-union membership, genetic data, biometric data used for identification, sex life or sexual orientation;
  • information concerning criminal allegations, offences, convictions or security measures;
  • confidential client files, complete source texts, contracts, legal documents, case files, medical documents, unpublished material, trade secrets, privileged communications or information subject to a confidentiality or non-disclosure obligation;
  • passwords, API keys, access tokens, authentication codes or other credentials;
  • payment-card details, banking credentials or other sensitive financial information; or
  • personal data concerning another person unless you have a valid legal basis for providing it and it is strictly necessary.

The AI Assistant is not the appropriate channel for sending confidential project documents or source material for a professional assignment. Where documents are required, send them directly to our team using the contact method specified by Specialized Translators.

7. Prohibited use

You must not use or attempt to use the AI Assistant:

  • for unlawful, fraudulent, deceptive, defamatory, discriminatory, threatening, abusive, exploitative or harmful activity;
  • to infringe privacy, confidentiality, intellectual-property, image, publicity, consumer or other third-party rights;
  • to produce or facilitate malware, credential theft, unauthorised system access, unlawful surveillance, circumvention of safeguards or other cybersecurity abuse;
  • to discover confidential system instructions, credentials, non-public website content or security mechanisms;
  • to inject instructions, manipulate context, bypass restrictions or interfere with the intended operation of the AI Assistant;
  • to impersonate another person or falsely present AI-generated content as human-reviewed or as an official statement by Specialized Translators;
  • through automated scraping, excessive automated requests, denial-of-service activity or other use that materially interferes with the website or other users; or
  • to make or support decisions producing legal or similarly significant effects concerning another person.
8. Data protection information for the AI Assistant

8.1 Data controller

8.2 Data we process

When you use or attempt to use the AI Assistant, we may process:

  • the text and other content you submit, including content that is refused or causes a conversation to stop;
  • the AI Assistant’s replies, warnings, refusals and relevant conversation history;
  • information about your enquiry or potential project where you ask about our services, availability or pricing;
  • date, time, usage information, errors, safety events and similar operational metadata;
  • limited technical or security information reasonably necessary to operate the service, maintain a session and prevent abuse; and
  • where requested by the interface or voluntarily provided for the purpose of an enquiry, limited contact or business information such as your name, company, e-mail address or telephone number.

The exact information collected may therefore depend on how the AI Assistant is configured at the time you use it.

If the interface does not ask you to identify yourself, we do not need your identity simply to answer an ordinary general question and ask you not to provide unnecessary personal information.

8.3 Purposes and legal bases

We process chat content and information about your enquiry in order to communicate with you, answer your questions, understand your requirements, prepare estimates or quotes where requested and, where applicable, take steps at your request before a possible service contract, under Article 6(1)(b) GDPR.

If contact information is requested or voluntarily provided for the purpose of responding to or following up on an enquiry, it may be processed for the same purposes.

Where processing is not directly connected with pre-contractual steps, we may process proportionate information on the basis of our legitimate interests under Article 6(1)(f) GDPR in providing an efficient customer-enquiry service, operating and maintaining the AI Assistant, maintaining service integrity, preventing misuse, resolving faults and protecting our systems and users.

We process proportionate technical and security records — which may include records of blocked or refused attempts — to secure the website and AI Assistant, prevent and investigate misuse, maintain service integrity, troubleshoot faults and establish or defend legal claims. This processing is based on our legitimate interests under Article 6(1)(f) GDPR.

We may also process information where necessary to comply with a legal obligation under Article 6(1)(c) GDPR.

Our legitimate interests include maintaining a secure and reliable service, protecting users and our systems, detecting abuse and resolving technical or legal incidents. We seek to limit the data collected, access to it and its retention so that these interests do not disproportionately affect users’ rights and freedoms.

8.4 Who may process AI Assistant information

Conversation records and related logs may be stored in the server and database environment used to operate our website.

To operate the AI Assistant and provide its functionality, personal data may also be processed by service providers acting on our behalf or providing supporting services.

Depending on the functionality involved, these may include:

  • website hosting and database service providers;
  • providers of artificial-intelligence processing services;
  • IT, security, monitoring, communications and abuse-prevention service providers; and
  • professional advisers or competent public authorities where disclosure is legally required.

Only information reasonably necessary for the relevant function is made available to these recipients.

Some service providers involved in operating artificial-intelligence or technical services may process information outside the European Economic Area.

Where personal data is transferred outside the European Economic Area and GDPR transfer restrictions apply, such transfers are protected through an applicable adequacy decision, the European Commission’s Standard Contractual Clauses or another safeguard permitted under Chapter V GDPR.

8.5 Use of conversations for AI training

Specialized Translators does not use visitors’ AI Assistant conversations to train its own general-purpose artificial-intelligence models.

Where third-party artificial-intelligence services are used to generate responses, we use business-oriented processing arrangements under which submitted content is not intended to be used to train general-purpose AI models on our behalf unless we expressly choose such use.

If this practice changes materially, we will update this policy accordingly.

8.6 Retention

We retain locally stored AI Assistant conversation transcripts, replies, blocked attempts and associated operational records for no longer than 30 days, after which they are deleted or irreversibly anonymised unless a specific record must be retained for longer because of a security incident, legal obligation, dispute or legal claim.

Where a record must exceptionally be retained for one of those purposes, it will be kept only for as long as reasonably necessary for that purpose and access will be restricted appropriately.

Third-party service providers involved in operating the AI Assistant may retain limited processing, technical or security records for the periods applicable to the services they provide.

Where contact information is collected and the conversation results in a quote request, commercial enquiry, booking, contract or other continuing business relationship, relevant contact and project information may become part of our ordinary prospect or client records. Such information will then be retained in accordance with the retention periods applicable to those records rather than the temporary AI Assistant conversation-log period.

8.7 Your rights

Subject to the applicable conditions under the GDPR, you may request access to, rectification or erasure of your personal data, restriction of processing, data portability, or object to processing based on legitimate interests.

If you used the AI Assistant without identifying yourself, we may need limited information — such as the approximate date and time of a conversation and any available session identifier — to locate a particular record without collecting unnecessary additional identification data.

If you provided contact information, those details may also help us locate the relevant conversation or record.

We may request additional identification only where reasonably necessary to confirm that personal data is being disclosed to the correct person.

You also have the right to lodge a complaint with the Spanish Data Protection Agency (AEPD) or, where applicable, the supervisory authority of your habitual residence, workplace or place of the alleged infringement.

8.8 No automated decisions with legal effects

The AI Assistant does not make decisions about users that produce legal effects or similarly significant effects.

An AI-generated answer, refusal, safety intervention, indicative estimate, draft quotation or preliminary assessment does not by itself determine whether Specialized Translators will accept a project, enter into a contract, provide a particular service, confirm interpreter availability or apply a particular commercial condition.

Binding commercial decisions and project confirmations are made or confirmed through Specialized Translators’ normal human-led process.

9. Input, output and intellectual property

You retain any rights you already hold in material that you submit to the AI Assistant.

You authorise Specialized Translators to host, reproduce, transmit and technically process your input only to the extent reasonably necessary to operate the AI Assistant and for the purposes described in these AI Terms.

You are responsible for ensuring that your input and intended use do not infringe applicable law or third-party rights.

Subject to applicable law, third-party rights and these AI Terms, Specialized Translators permits you to use AI-generated output provided to you for your own lawful purposes.

AI output may not be unique and the same or similar content may be generated for other users. We do not guarantee that AI-generated material is protectable by intellectual-property rights, entirely original, non-infringing or suitable for publication or commercial use.

You are responsible for appropriate human review and, where necessary, rights clearance before publishing or commercially exploiting AI-generated content.

You must not present AI-generated output as a professional translation, interpreting product, certified work, human-reviewed work or other professional deliverable prepared or approved by Specialized Translators or by a member of its translator or interpreter network unless Specialized Translators has expressly confirmed that status in writing.

10. Availability, access and changes

The AI Assistant may occasionally be unavailable, interrupted, restricted, updated or withdrawn. We may change the systems, service providers, safeguards, functionality or usage limits used to operate it where reasonably necessary for security, maintenance, performance, legal compliance or service development.

We may also change the way access to the AI Assistant is provided. This may include introducing, changing or removing a requirement to provide limited contact or business information before or during use of the AI Assistant.

Where a change materially affects how personal data is collected or processed, the applicable privacy information will be updated as required.

Access may be suspended or terminated where reasonably necessary because of suspected misuse, security concerns, legal requirements or the protection of users, Specialized Translators or third parties.

Do not use the AI Assistant for urgent communications, formal notices, complaints requiring immediate attention, cancellation instructions, critical deadlines, emergencies or instructions relating to an existing assignment.

11. Disclaimer and limitation of liability

To the maximum extent permitted by applicable law, the AI Assistant and its output are provided “as is” and “as available”.

We do not guarantee the accuracy, completeness, availability, suitability, originality or correctness of AI-generated output.

Safety controls, retrieval of website content and carefully designed instructions can reduce some risks but cannot eliminate hallucinations, misunderstandings, attempts to manipulate the AI Assistant, inappropriate output, data leakage, technical failures, outages or other errors inherent in the operation of generative-AI systems.

To the maximum extent permitted by applicable law, Specialized Translators is not responsible for loss or damage arising from:

  • reliance on inaccurate or incomplete AI-generated information without appropriate verification;
  • use of AI output without appropriate professional or human review;
  • submission of prohibited, unnecessary or excessive confidential or personal information;
  • the operation or failure of third-party technical, AI, hosting or infrastructure services beyond Specialized Translators’ reasonable control; or
  • the interruption, modification or withdrawal of the AI Assistant.

To the maximum extent permitted by law, Specialized Translators shall not be liable for indirect or consequential loss, loss of profit, loss of opportunity, loss of data, reputational damage or business interruption arising solely from use of the AI Assistant.

Nothing in these AI Terms excludes or limits liability that cannot lawfully be excluded or limited, affects mandatory consumer rights, or reduces an express obligation separately accepted by Specialized Translators in a confirmed quote or written contract for a professional human service.

12. Governing law and jurisdiction

These AI Terms, the use of the AI Assistant and any dispute or non-contractual obligation arising out of or in connection with them shall be governed by Spanish law.

Where the user is acting in the course of a trade, business or profession, Specialized Translators and the user expressly agree that the courts and tribunals of Alicante, Spain, shall have exclusive jurisdiction over any dispute arising out of or in connection with the AI Assistant or these AI Terms, to the extent that such an agreement on jurisdiction is legally permitted.

Where the user acts as a consumer and mandatory legislation grants the consumer the right to bring proceedings before another competent court, those mandatory jurisdiction rights remain unaffected. The choice of Spanish law likewise does not deprive a consumer of any mandatory protection that cannot legally be excluded by agreement.

13. Changes to these AI Terms

We may update these AI Terms to reflect changes in the AI Assistant, access arrangements, service providers, data practices, safeguards or applicable law.

The current version will be published on this page. Where applicable law requires additional notice or a renewed acknowledgement, we will provide it before the updated terms apply.
